TERMS & CONDITIONS

Registration

Registration fees are based on the date of receipt of the registration form and full payment. The prices indicated are per person and are only applicable if both the registration form and the payment are received before the deadlines listed below; otherwise the higher registration fee will apply. The conference registration fees include: name badge; conference bag with conference programme, coffee breaks and lunch; conference reception (Monday 16 November 2009)

Payment

Payment must accompany the registration form. Registrations received without payment will not be processed or confirmed. Bank drafts and cheques will not be accepted.

Bank transfer

Bank fees are the sole responsibility of the registrant and should be paid in addition to the registration fees. The bank transfer must clearly state the name of the conference and the name of the participant, as unidentified bank transfers cannot be processed. If payment is made for more than one person or by a company, please make sure all names are clearly indicated. Participants are also requested to send a copy of the bank remittance receipt with their registration form to the Conference Secretariat by e-mail to events@erec.org or by fax to +32 2 546 19 34.

Cancellation policy

Any cancellation of registration should be communicated in writing to the Conference Secretariat by e-mail to events@erec.org or by fax to +32 2 546 19 34 and will be subject to the following conditions:

Cancellations received on or before 15 October 2009
Refund of registration fee minus an administrative charge of 15%. All refunds will be processed after the conference.

Cancellations received after 15 October 2009
No refund will be made (including cancellations of social events).

Name changes

Registered participants who are unable to attend the conference may nominate (free of charge) a substitute participant by notifying the Conference Secretariat in writing before 2 November 2009. However, we cannot change the invoice or make any other changes. Substitutions after this date will not be permitted.

Disclaimer

EREC cannot be held responsible for any loss, injury or damage to any property, whatever the cause may be. Liability of persons and enterprises providing means of transportation or other services, however, remains unaffected. Should, for any reason outside the organisers' control (acts of terrorism, extreme weather conditions or industrial action) the venue or speakers change, or the event be cancelled, the organisers will endeavour to re-schedule, but shall not be held responsible for any costs, damages or expenses incurred by registrants.
